And you're like, how, dude? How do you have time to do all of this? Because I can barely keep my head on straight, right? Well, I believe.
that they are just super organized and use their time wisely. So today, we are talking about
Ali and my own personal strategies on how to stay organized and maximize the use of your time
so you can get the most out of your business and your life. And in case you didn't know, you are

and I just forgot.
But she's also a high C on the disc profile, which we've done episode on that in the past
and would probably serve to do another one.
Our high Cs are organization people, the regulatory.
They like all of the boxes checked and T's crossed, eyes dotted, all of those things.
They are my favorite type of person to work with, actually. So big shout out to you. I feel like I would
love to do across with you. Okay, time to dive right in. So within my own personal organization,
there are a lot of aspects that I think help with organization, but the ones that I'm going to
break down today are the ones that are probably everyone is using to some extent, but they're probably
not optimizing, starting with what I like to call a notebook. And I know right now, you guys
are thinking like, what the hell? That's like the most, you know, silly type of answer. No, it's really not
because I bet have you guys ever been to like a training session and you listen to something and you're like,
damn, that was awesome. I should do that. Or maybe you are listening to a podcast and you're like,
man, I should do that or you see something on Instagram other agents are doing. And again,
these thoughts are like, like builds up in your head. And then over time, it actually creates anxiety
because you have so many things that you should be doing that you know you're not and you're barely trying
to keep alive with like the clients, the hot tasks. Well, a digital notebook for in my mind is the solution
to this problem because for me, what I've found is those should, should, should, I should be doing
thoughts are the ones that overwhelm me most. But if I capture those thoughts and have an organized
place to put them so that I know that I won't lose them and I will do them one day when they
become the top priority on my list, then I can release that anxiety of, oh, my God, I need to do
this and I'm never going to get it done because I know that I will because it's captured in an
organized place. Yeah. Oh, absolutely. When I first joined Five Pillars, that was like within our
Google Drive. That's where I spent the majority of my first like three months was in the organization
folder that you have. That's everything, you know, like for the foundation. So what I would recommend
with this notebook is, first of all, I highly recommend it be digital because if you are handwriting,
you're probably going to end up with like 75 different notebooks, which I've been there,
by the way, where you have multiple notebooks and you're like trying to, oh, this one's for this and
this one's for this. And like they're half used. So training yourself is 2025. It's almost
2026 in finding something that's digital that works for you is the way. And then another thought with
the fact that it being digital is now when you're working on your computer, it can sync to your phone.
And no matter where you are, you have access to that notebook. Another thought with the digital is,
I have the goal probably of eventually if you don't already hiring an assistant or leveraging out some of
the tasks that you have. So if you have projects that, you know, I saw this online, I really want to do
this and you have a place in your notebook where you've stored it. Now, when you get to the time
where it's time to execute and you do have an assistant or leverage, now you can literally
share that task project with another person and collaborate in a space without being like,
oh my God, I have this in a notebook somewhere from three years ago. Let me dig it out.
what are these notes? I can't even read my handwriting. So there's just a lot of pros to a digital
space. I have obviously big proponent of digital. If you are not yet tied to one specific
type of platform like Evernote versus Notion versus Google Doc versus pipe drive versus whatever like
CRM, if you already have a TC that you know that you're going to work with for a while and that he or she
is good at their job in communicating. I would ask what they do because my ATC that I love
working with right now, she has her whole life on pipe drive. And she asked to share it with me.
And at that point, I was already like kind of stuck on my Trello. And I still am stuck.
I feel like once you have learned one platform, that's like kind of like what you imprint on.
Yeah. And like that's what you're with. So if you are flexible, learn like maybe like the platform of
those that are doing a lot of business, or at least like your TC, if they're good. That's what I've done.
I probably wouldn't have learned Trello, but of course, I wasn't even working with this TC yet.
Right. Another tip in this realm, I've watched people do this over and over again, is they
platform jump because they're like, oh, that one looks cool. Ooh, this one's better. Ah, this one's new.
You are wasting so much time by transferring, trying, learning the new coolest platform.
It does not matter. It literally, if you use it, then it's working for you. And so try not to go down the
rabbit hole. And this applies not just to digital notebook. This also applies to the new AI that's coming out and the new
whatever, whatever, whatever. It's like when you make a decision, try to put your blinders on and
stick with it. Because at the end of the day, indecision and the wasted time will be more harmful.
this is my opinion than trying to get that 1% edge by switching platforms.

And in case you guys are wondering, my platform of choice is Notion.
Allie has already said that she uses Trello.

Probably. Who the fuck cares?
Yeah.
Okay. So that is notebook.
But let me go through some tips with the notebook real quick.
So when you are, you've picked your notebook and you are about to commit.
to this. There are a couple steps that I want you to go through. Step one is consolidate your lists
from anywhere else that they may be. And I'm talking about your training notes. I'm talking about
your Post-it notes that you might have around, maybe your phone notes that you have in multiple
different phone apps, by the way, different storage places. And then also screenshots. I know is a
big one for people when they go to trainings. They're taking pictures or they're taking screenshots
of the things they see on Instagram. So time block on your calendar, which we're
We're going to talk about calendar next. Don't you worry. Time to be like, okay, this is my dedicated
time to set up my notebook properly and consolidate all of your I should do or notes from other places.
That's your first step. Now you have all of them consolidated. The next thing that you're going to do
is you're going to take a moment and you are going to just think. You're not going to look at your phone.
You're not going to find out. You're just going to think. You're going to say, what do I owe people that I don't have written down on a list?
what do I owe my business? Like what are the biggest things that I should honestly be working on
that I'm probably not. And then brain dump what's on your wish list. So this is just a time.
Try not to have social media open. Try not to have your phone. Again, you've time blocked for this
to flesh out anything that has been spinning and circling and terrible in your brain, the things
that keep you up at night, the things that wake you up in the morning and try to get it all.
I was going to say on paper, but we don't mean that, right? Because it's digital. Get it all out of your
brain and onto a document. And then step three is you are going to organize that mass chaos that
you just dumped into your notebook. And you're going to organize it by prioritizing, of course.
What are the things? Of course, the things you owe clients, the transactions, those relationships.
What is it? Money, marketing relationships. Those are my top things when I wake up in the morning.
like, what do I have to do? What is going to make me in my business money in the next 30 days? So that is
anything that you need to write an offer for, that deal that might fall through, but you need to negotiate.
You know, anything that you have to do, contract to close that your TC's not doing. Those are like,
that's the money piece. Right. And then the next piece is like, what do I have to do to make sure I'm still
top of mind with people? For me, it can be just as simple as an Instagram story. Knock out an Instagram story.
And then the third thing is relationships.
So I think through like, what are you're in your serum or whatever and you're like, what
relationships will fail without a touch point or some love, some Shelby love?
I think of it.
I literally like, who needs Shelby love?
And it's that person who, you know, maybe they're going through a tough time and or maybe
they like just lost out on like another offer.
And you just have to nurture just a little bit, share your love with those people to keep
them on the hook with you. So those are my three things. Money, marketing, and relationships.
But then after you've done those things, you're still looking at this mass amount of literally
chaos. Like all the post, all the stuff you just consolidated, all your wish list, all your
dreams. Now it's your time to prioritize and pick out the most important things that you need to be
doing that will move your business forward. And everything else in the brain dump,
everything else needs to go into some sort of a down the road.
different tab, different part of your notebook. And if you want, you can further organize that out,
like the down the road, you can prioritize some of that. But even that's not a priority. So as long as you
have your brain dumped stuff in a down the road, I will do this one day in a tab that you don't
look at. That's the other key is that I feel like a lot of people, if you're going to brain dump
all these things, and if it's in the same place where you're looking at like your hot tasks that
you like your priority tasks, you look at it. Your brain creeps.
And now you're drawing focus away from what you should be looking at because you're thinking about all these things that you want to do and that. It does not matter. Those things do not matter right now. Your focus matters right now. So capturing those things, putting them in a place where you like, I know I got it and then getting it out of sight and out of mind in my experience is the best way to then focus on the biggest number one priority task that will move your business forward. Yeah. I used to have it all on like one spot. Just like I would just have to scroll.
but even when I even without scroll yeah I was like oh if I scroll then I won't see it no I'm going
to scroll like even if it's in a different tab I feel like I probably would yeah so that's that's tough
like you think that you will just you think that even by looking at it glancing at it's not going to be
that big of a deal but it eats away at your mental energy in space so yeah okay so now at that
point this is your notebook and so what I keep on like my look that I look at like every day
my little part that I look at is literally just like today's tasks. And then sometimes I'll have
tomorrow's just so I'm like looking like one day ahead, you know, like, okay, this is what I want to do
today. This is what I want to do tomorrow. But any more than that is distracting for me. So, and if I
accomplish something, if I knock out everything for today and tomorrow, I'm like, yes, you know what I do?
I go back over to my list and I pull out the next biggest single priority. And then that's what I chunk away at.
And I found that that really helps me with, I guess this is organization, but this is also like
focus and just getting things done. Can you give us an example of like today's tasks that you have or
or just any example? Yes, exactly. Okay, I'll literally go what I'm doing today. So today at 4 p.m. I have a
Google meet with a new buyer who's relocating here. So after I am done with these podcasts, I need to prep.
I originally talked to the phone like a long time ago.
So like I want to go through my notes with that and make sure I have everything pulled up for prepping for them.
And then after that, I have a couple things that I owe clients, like some research on two houses for a person, some research on a Montessori school for like two different clients.
But those, it shouldn't be long.
And then after that, my like big priority focus task, the thing that I have to get done is scripting for my next YouTube video.
because literally there's so many things that I could be doing, should be doing, whatever,
whatever. YouTube is a top priority task for me for so many reasons that we talk about,
but it's like checks the block on marketing. It's building relationships. It is evergreen content.
It's, you know, blah, blah, blah. You guys are probably sick of hearing Allie and I talk about YouTube.
That's like what I'm, those are my priority, those things for clients, you know, and then chunk away at
YouTube. Moving on to, okay, one more note. Just one more note on this is that overall, if you're
able to build the habit, this is a habit you have to create for yourself to use the notebook,
use it, it will increase your productivity and it will decrease your stress and anxiety
because your brain cannot be trusted and your notebook needs to become your second brain.

Now we are moving on to calendar.
And the exact same rules apply as the notebook in the sense of it must be digital.
I'm sorry people.
Digital syncing with different phones, sharing with people, inviting people, getting people
on the same page.
Like there's just, it is digital this day and age.
But right now, if we were to play a game, Allie, this game does not apply to you because
I already know the answer.
But those of you listening out there, if you.
you think about what's on your calendar, what is the answer? And what I think the answer for you,
well, I'll give one little pause. Okay, go. What I think the answer of what's on your calendar is
is probably two things. You probably have actual appointments where you're meeting someone at a house,
maybe a listing appointment, a buyer's consult, whatever, or you have an event, an actual
event you are going to. Maybe your dentist appointment, maybe it's a real estate meetup.
Something. Those are the two things that most people have on their calendar. But if that is you,
then in my opinion, and Alice too, I'm speaking for her, you are underutilizing and underappreciating
one of the most impactful tools that are free in your business. And that is because the calendar
is not just a place for appointments and events. It is a planning space and it is a
working space. And so what I mean by this is you now have this amazing notebook that you just created,
or at least it's the start of an amazing notebook. You have all of these things you want to do,
all these things you want to tackle. And one of the problems that you probably have every day is
you're like, how do I end the day? And I still haven't done anything. But now you have all of these
things that you want to do in your notebook. And you're sick and tired of ending the day and
wondering where it went. But it's because when you have the events on an appointments on the
calendar, cool, you go to them. But whenever there's wait space, you do this thing where you're like,
wait, what am I supposed to be doing right now? And then you go back to your list and you start digging
through it and you're like, man, I'm interested in this. Let me research this. And before you know it,
you are on a rabbit hole of like research, which is actually wasting time or rereading and reorganizing
your to-do list, which I know some of you do way too much of because I,
am guilty when I let myself, you know, be myself. And how to prevent doing that is by using
your calendar to plug in what you are going to actually be doing in that time. I mentioned before
when we're talking about notebook as you're going to time block for this. So what you're going to do
is when you're looking at all the things you want to do in your notebook and your priority tasks,
if you don't have them in your calendar as I'm going to do this on this date, this is my set aside time
to do this. Every day will go by and it will be filled with things that you don't even,
like they're not important. And you'll end the day wondering where it went. So your calendar is
your planning and your working space. And before you do this, I know all of your real estate agents,
well, what you need to do in my opinion is you need to work offline and you need to set expectations
with your clients before doing so. Because all of you're like, well, what if they need me?
They won't need you if you say, hey, heads up, Allie. I'm headed into an appointment. I will be
out at noon. And I will be right here if you need anything. Text me if you need anything and I'll
follow up as soon as I get out of my appointment. They don't need to know that your appointment is
with yourself. It is still a real appointment and is building your business, which is incredibly
valuable. So working offline and setting expectations is the key. And just remembering that you're
not that important and things will not die in the two hours you set aside to build your freaking
business. So I did this well in one aspect of my life. And then I did in like,
agent side of things. And I did not do this well in my rental side of things. And I realized this
sounds so stupid simple to say out loud now. But I just took my agent business so much more seriously
than I did my rentals. So every, I think it was like once a month, I just had like a time block on
my calendar to make sure that all the tenants paid to see what the expenses were for each property.
Is it crazy? Do I need to like, you know, do something with the property manager?
This is so embarrassing, Shelby.
No.
I had it on my calendar in the color coordinated for my rental properties, which is different from my business.
And I just got so used to skipping it because I didn't have it as busy on my Google calendar.
I had it as a free time block just for myself.
So clients would come first.
Everything else would come first.
And I'd be like, oh, I don't need to look at it this month.
I'll just look at it next month.
And Shelby, nine months when.
buy. I just checked it like two days ago. I was like, did my tenants even pay this year?
It was so bad. So bad. And it was because it was marked as a free, like, so anybody, any client can
book. And as soon as I got somebody booking, an agent for help or, or another buyer client,
that's where my attention went because I didn't actually block it, block it on my calendar.
So that's my lesson learned. That is a really great example that I think is probably really helpful
for people to hear because maybe when I was like, you know, planning for yourself, like this is
your planning. Oh, in working space for yourself. That's a really good appointment. Anything that is
important to you in your life should go on your calendar and even more than that as a recurring event.
But basically like the things that you expect are the things that continue to thrive. And so by inspect,
it could mean what Ali is talking about where it's like you're checking your books, you're talking to
your property manager, you know, you're checking in on problems. But it can also be.
like if you have, let's just say you have a bunch of contracts with a TC. Maybe you need to set weekly
or even daily touch point with them every single day because you know what happens and that needs
to go on your calendar and you invite them to it with a recurring like Google Meet or Zoom link
because when you don't do that in a couple weeks go by, you're going to be pissed. You're going to be like,
God, I can't believe that this happened and they forgot to do this. But at the end of the day,
anything that happens and fails to happen in your business is your responsibility. I don't care if
you've like leveraged it out. It's your responsibility. It's their task to execute, but it's
your responsibility because if something goes wrong, the client's going to look at you. They're not
going to look at the TC. And so by having these reoccurring touch points, you will stay on top of it.
You will catch problems before they come big problems. Yes. Like luckily, luckily in my case,
there wasn't a problem because everyone paid except for this, this month actually. I used to have like
financial Friday every Friday on my calendar. And now like I have, Drake is so much of the financial and like
property managed and all that stuff. But yeah, so that's a good example, anything you want touch
points on. But also it easily could be your reoccurring work on scripting because a lot of people
will have YouTube video on your to-do list. Scripting is hard if you are scripting or at least
ideation and thinking through titles and, you know, the research and all that stuff. And so it's
really, really, really easy to kick that to the next day. So if you don't have it on the calendar and
you're not committed to your calendar, then you're just making life harder for yourself.
Okay, that's really the main points. Oh, other points is like color categorized like in your calendar and also use banners, you know, so like you can see Alley's on vacation for this amount of time, you know, and stuff like that for your people. Yeah, that's what I have on calendar. I'm going to move on unless Allie, what you got. I have like the like weekly events on my calendar, the recurring. I also have monthly. I also have like quarterly stuff too, especially like after I read profit first. So there's stuff like in my business where I was like, I just want to make sure that the right percentage of money moves into like this.
account, that account, this one could get into profit first, but like the recurring stuff and especially
stuff for your MLS or like your association, like every six months or every year, you kind of have to go
log in and pay, you know, so I just have like the link in there. Just make it as easy as possible for
your future self to not have to go hunt and look for the MLS link and the login and blah, blah.
Just I always try to add the URL as much as possible to every single event. So that way nobody is
confused and it takes as little effort for my future self to do that. No, I love it. And actually,
of course, like everything that we're talking about, like, I'm, I'm kind of riffing. Remember when I said
ripping and you're like ripping ass? I'm riffing, I think is the correct term. Of course, I have
checklists for all of this. Even as Ali is like, here's some examples of what I have on my calendar.
I knew that in our Five Pillars Nation, Google Drive, that we had this. So I literally just
typed in calendar reminders and popped up, annual reminders.
bi-annual, quarterly reminders, monthly, weekly. We have it all listed. Maybe that will be my tool
for today. I think that'll be a good one. Okay, so I'll upload that in case you didn't know,

about is just efficiency in your communication and shortcuts and so one thing I love to hit on
is email email is a death trap for so many people alley and I have talked about superhuman
We love Superhuman, which is an email application program subscription, something like that. I think
it's what, like $20 a month, is that right? Yeah, 20 to 30. Either way, it's worth it. Actually,
XP has partnered with a company. I don't know if they bought them or what, but it's called
Fixer, which is very, very similar to Superhuman. There are some differences. I don't know it.
And that goes back to what Shelby said of like stop hopping. I looked into Fixer a little bit,
but like I just I got used to superhuman.
So, but if you wanted a potentially cheaper option, maybe, don't quote me on that, try fixer.

Why do we love Superhuman?
It is, takes your email death trap and it organizes a lot of it.
it for you. Like it is really good at pulling out spam or marketing emails and putting them into the
different folder, which I know Gmail does, but like superhuman is just clean, fresh. It allows you to
actually focus on what matters. So all of your junk clutter, just goodbye. It also allows you to like
boomerang to future times, you know, like when an email comes in and you're like, this is not a priority
task. This is not what I told myself I was going to focus. In two clicks of a shortcut button,
not even like two types on a keyboard, you can boomerang it to tomorrow or three hours from now
or three weeks from now, any of those sort of things. So when that established date and time
cops up, it just pops right back into your email. Superhuman also allows you to do these things
called snippets, which are drafts on steroids. Me personally, when I had an outlook email,
I had so many draft emails. And what I would do when I wanted to send an email to someone is I would
go over to my drafts, I would find the correct draft. I would select the entire draft. I would
go back to my inbox, I would hit new, create the email, typed in the draft, type in the subject,
all those things. So in superhuman, all you do is like when you reply to someone, it's again,
one click, you're not even using your mouse. This is all, you don't have to take your hands off
the keyboard. And you hit enter to reply. And then you hit the semicolon and start the title of
your snippet. Hit enter. And the whole thing populates. All it populates. It also pulls in the person's
name from their email so you don't have to go and update the name. And it takes two seconds. So,
yeah, that's just a brief, brief little bit about superhuman being amazing. I just love the
shortcuts. I just love how fast it is. It's amazing. And then another thing is just be cautious of all
the different places people communicate with you and try as much as you can to use a CRM, which we should
do a show on here shortly because I was the type of person who didn't use a CRM for
many, many, many years. And now I use one. And it is actually amazing in a lot of ways. I do use follow-up
boss. So, okay. Last handful of tips. If you're not using a separate monitor, this is absolutely
something that I highly, highly, highly, highly recommend trying because having, when you're actually
working on something, having the ability to space out on two different screens is a game changer.
So much so that, like, I don't travel without a point.
portable separate monitor that I can pop up on like a coffee when I go to a coffee shop and have it up
just because it is that impactful for me in my business. The second thing I was going to say is
be aware of waste. And what I mean by waste is your entire existence is built up on a series of
tiny little moments. And if you discount the waste in those tiny little moments, they add up so
much over time. An example of this is maybe you work at home and your printer's downstairs,
but your buyer packet materials is up by your computer. And every time you have to print,
you go downstairs and then you have to walk upstairs or even just across the room. Why not
move the printer right next to you so you can cut out that amount of time? A lot of you guys are
probably thinking that's crazy. That's so minuscule. No, it's not. It adds up. It really adds up.
So that's an example or like little things that frustrate you. An example being Drake
had these shoelaces that he hated. Complained about them every day because I don't even know what was
wrong with him, but they took him so long to like tie, untie, whatever. They would slip off when he was
like, it was horrible. And so this frustrated him every single day to the point where I just bought
new new shoelaces. I'm like, dude. So be aware of things like that in your life because that is
what increases frustration and also slows you down. My last little tip is on your browser if you do
not have favorites and even more so folders with drop down of favorites within the folders,
that's another huge thing that will save you time because I know y'all have been like,
man, where's that link?

I have actually developed some bad habits where I don't use my CRM nearly as much as I did
when I first got started.
I was just maniacal.
Like I was so good.
And now I'm like, I think I'm getting complacent.
So this is like a good like refresh for me to like get back into maybe I will switch my CRM.
Because that's why I just I don't like it.
That was me too.
That's why I didn't use it.
It's because I was like, I hate this.
This is complicated.
It's clunky.
Ew.
Yes.
And now I'm like this is, I love being in here.
This is great.
I might look into that.
because I think I got complacent with like the leads coming in from YouTube and then I just put them in my own system like because I right now I still use Trello. I like it. I keep my notes. Like I know if anything's in capital letters, that's my due out for the day. Like and then at the end I just like I like I like being able to see everything all at once and then like one click go in deeper to that one specific file. And that's where I have my digital checklist for every single buyer, every single seller. So that's kind of like what my CRM has been. But obviously it's not like a true CRM because nobody's.
It's not pinging me. It's not letting me know, like, hey, you haven't spoken to this client in a while.
And that's the stuff that like where I, I slipped one time this year and I lost a client over it actually.
And yeah, that should have been a red flag.
Well, it kind of goes back to the balance of like if you have a CRM-ish thing, if you have a system and a process that works as a CRM and it's working for you because this is where it goes like the leveraging piece.
Like it's a lot easier for to give one more person the CRM access and then be able to see every conversation.
you've had with them, every recorded call, everything transcribed, like all of the checklist,
everything in one place. But if that is not an important piece of your business or something that
you want to do, it goes back to the thing I said in the beginning where it's like, everyone's going
to tell you, I actually don't know if I said this, that you should be doing this or you should be doing
this. But at the end of day, it's your business. And if your process and system works for you,
then that's okay to. Maybe, but maybe not for your serum. I do love it, though. But think,
we can we also talk about this, pros and cons serum. That's true. Maybe we should.
should have something from follow-up boss. That'd be cool. Oh, that'd be amazing because I'm definitely
underutilizing. I'm probably using like 10% of what I could. Okay. I have one more thing. I've said that. No,
I've said that like 45 times. But if you're watching on YouTube, if not I'm going to describe it to you,
this, what I'm holding up is an hourglass, kind of like you've seen on Latin. Anyway, so what this is,
this is a 30-minute one that I bought and I use this when I have fallen out of a good mode of
focus because you guys, I'm sure you felt this way where you're like, I'm going to focus. I'm going to
check this. Wait, I should check this. And you're like on this checking spin. You check Instagram,
you check Facebook. You check what's that. You check your text. You check your email. And then you just
repeat. And you just go in a circle. Maybe you had YouTube in there. Maybe you had TikTok, whatever,
whatever. You're spinning. So this hourglass has really, really helped me realize how bad I am
at focusing. Because what I do is when I'm like, I'm going to focus, I turn it over. And then I know that
I don't look at anything. I don't need to check the time. This is 30 minutes. And I need to be able to focus in 30 minute increments at a minimum to get shit done. So it is very, very humbling to look and realize that my natural focus when left to itself is literally 45 seconds. It's so bad. So it's a tool to help you. I'm glad that you brought that up actually because I was just at my sister's place yesterday in the middle of her workday when she was working from home. And she,
does the like pomadoro technique which is like the 25 minutes on five minute break and then back to on i
have never tried that i've never tried it in that short of an increment because i think 30 minutes
i'm like i can't do shit in 30 minutes but i haven't tried i usually do like an hour like 45 minutes
like an hour like where i'll work because i think it takes me so long to like dive deep get in yeah exactly
yes in there yeah like it's almost like napping like i it takes me just as long to prepare for the nap to like get ready
to go to sleep, then it is to nap, which is why I don't nap. But I asked my sister, I was like,
is 25 minutes enough for you? She goes, yeah, that's plenty. And so maybe I should just give it a
shot. So I like, I like that. Because there's a lot of science behind the 25.5.
