Starting point is 00:03:40 Like after coaching over now 13,000 agents, you know, in training them, I've noticed a lot of people they struggle with their time and with the struggle with their balance. They're, you know, getting pulled in every direction. So these are the things that are going to help you. Ready? Pen and paper. Let's get it going. So the first thing you need, and this might be something.
Starting point is 00:04:00 simple for a lot of you guys, you need a CRM. Okay, you need a CRM, but I'm not going to stop there, okay? Don't check out just yet when I say that because, oh, I got a CRM. There's plenty, right? There's KV. Corps. There is follow boss, which just got acquired by Zillow. I don't know if everybody saw that. $500 million.
Starting point is 00:04:18 And Zillow also acquired Showing Time. I'm going to have another podcast about that as well. But it's not here. I'm not here to pitch that to you guys.
Starting point is 00:04:42 I don't care what CRM you have. This is the thing. You got to learn it, understand it, and use it. Right? I know so many agents that have a CRM have no damn clue how to maximize it, how to be more effective with it, how to be more efficient in it. They don't even know what it does. Right.
Starting point is 00:05:01 So if you're somebody that is an Excel spreadsheet person, cool. I'm glad you have something. That's awesome. Try to get something else that has a little more power behind it. Something that you could set up automated emails, not just listings that are out there, but actual emails particular to that person's situation or your marketplace. So a CRM is great, but a CRM not used, right? You're just wasting money.
Starting point is 00:05:25 So you should have a CRM. How does it get you time back? Well, let me give you an example. When I did a call, not too long ago, about our 12-month touch plan. In our 12-month touch plan, we gave all the emails to our clients. So they'd have to do anything, just make some small tweaks. But then to go ahead and they set up, take two hours, set it up into your CRM, now you have an email that goes out once a month to your database without you touching it,
Starting point is 00:05:50 without you thinking about what emails to write. And by the way, if you need those emails, obviously joining our coaching is the way you get it. But you can use systems like chat, GPT. to help you write them. Just make sure you make corrections, please. Don't just send chat GPT stuff because there's so many things I get. I'm like, that was definitely pulled off chat chabit with no modifications. But you also, with your CRM, obviously making it clean, right?
Starting point is 00:06:15 Making it clean. What I mean is so it's like going to the gym. Think about this. When you know you're going to the gym, you want to know what body parts you're working and pretty much what machines you're going to be hitting, right? Otherwise, you get confused. You don't go in. Right? Or you waste a lot of time figuring out, what do I do next? What do I do next?
Starting point is 00:06:32 So just like the gym, how you want to strategically set up what body parts, body parts you're working that day, as well as what machines or weight you're going to be using that day. Same with your CRM. When you get into your CRM, you shouldn't be thinking about what do I do, who do I call. The process is already laid out for you. There's already pre-made filters or filters that you have created that you know on Mondays I call these people, Tuesdays I call these people. and it's all built in to your CRM to allow you cleaner access, faster productivity, and autopilot emails and text messages, video messages, all to make sure that you have a system behind it. If you're in real estate and don't have a CRM, you merely are just losing hours, losing,
Starting point is 00:07:18 but you also don't have a business, right? Systems and processes are what create businesses. So even if you're a business of one, you know. need to have a system behind you. It'll give you back hours in your week. So if you don't have a CRM, go get one. Once again, there's tons out there. Follow up boss. There's KV. Corps. But my favor is going to be Commission's Inc. If you guys have any questions on it, let me know. I'm going to give you the rundown on what that looks like. But also, the big piece of this is making sure you know how to use it. And then you go ahead and you set your CRM up for success. Automative emails,
Starting point is 00:07:54 right filters set up to where when you get in on Monday, Tuesday, 1, 6 Thursday, Friday to call, you're right to who to call. The filters are already presets as well as understand the small little things that help with it, right? So for sync, the cool thing is they have reversed prospecting. If I have a lead or say if I have a listing, I can go ahead and go in my system and I can reverse prospect anybody that I wanted a three bedroom, two bath, and Sandestin, let's say.
Starting point is 00:08:20 And everybody who is in that type of criteria will pull up and I can send a short. strategic message to just those people about this listing that I just got that matches their criteria. Okay, so number one is CRM, but the big piece of this is know how to use it and use it properly. Number two, not some of you guys may have this, but if you don't, you need to start a transaction coordinator, a TC. Anytime an agent comes aboard, real estate mastery coaching with me, first thing I say is who does your transactions?
Starting point is 00:08:53 Do you take it from contract to close or do you have somebody that that is their primary role and they're a badass at it? And if they say that they don't have anybody, that's the first step. Stop doing all your paperwork. You are wasting probably anywhere from three to 10 hours per file, right, per contract on that. When somebody who has a system, who has a process, who has the manpower and the time, can go ahead and do it for you. You are trading money for time.
Starting point is 00:09:22 and that time you'll create more money i'll repeat that again you're trading money for time okay and with that time you can make more money i'm going to write that down too money for time right it is it is such an eye-opener when you could understand that okay hold on trading money giving money to get my time back and i could use that time two three four five six seven eight hours to make a lot more money than what i just gave that person now it makes more sense okay um but here's the other part to that is that that with your TC, this is a hard pill for some people to swallow. Some people are all aboard this. You should not be paying it.
Starting point is 00:10:00 You passed that investment or that cost onto your buyer or to your seller. Every contract written different in each, obviously, MLS. And so I don't want to tell you where to put it into your contract, right? But there are different places for you to put into your contract in order to make sure that you pass that on. I use a company called, excuse me, Alchemy Group. So the Alchemy Group is a bunch of Rockstar females, and they actually do it for a few of my clients now on the real estate mastery side.
Starting point is 00:10:32 They're badass. When I'm at the beach and I need an addendum written, I message her, hey, can you send an addendum to go ahead and add the furniture to this? Can you go ahead and send this about the inspection report? Whatever I need, it gets done. They dot the eyes. They cross the T's. That gives me hours back.
Starting point is 00:10:51 in my day, my week, my month, and I can make more money or more memories with that time, right? So my cost, I think for them is $4.95 or $3.95. I don't even know I have to look at it. But it's $3.95, yeah, it's $4.95. Then double-side deal will be $6.95. So basically, I just put that into the agreement. And I've never ever besides one time. And that was a strange time.
Starting point is 00:11:17 had anybody ever say anything to me about them not wanting to pay it. So let's just do some math here. Okay, I'll give you an actual real life example. I got a client of mine. She's doing 35 transactions a year. Okay. Now with her 35 transaction a year, she had a T. She had one, which is awesome, right?
Starting point is 00:11:40 But she was paying for it. But she was paying for it. And she said, man, John, how do I ask them to do it? You know, I feel like that's a part of my value. you, blah, blah, blah, and I simply said, it is actually, yes, it is a part of your value, but also, like, it's a part of your value that you offer that service to make sure that this closing is smooth as it could possibly be, and the communication is on point. It's like a doctor and a nurse, right?
Starting point is 00:12:05 You're the doctor. You plug in a nurse for these other parts so that you can focus on the higher, more intentional things you need to do with that buyer or that seller. So for her, $495. $495 is what she charged. And she had to really make her understand that it's not a big deal when you actually send it over. It's only a big deal if you make it a big deal. And by the way, she did ask this literally that same day when she wrote two offers and neither
Starting point is 00:12:33 them blinked. She messaged me. She's like, oh, my God, you're right. They really didn't care. They even say anything. I mentioned it. And they're like, okay, that's fine. And so right away, she got that benefit.
Starting point is 00:12:44 But let's go back to the math. $495 times 35 deals, $17,325. $17,000 she spent last year on a T.C. That's awesome, right? That's awesome. That she spent $17,000. No, it's not. No, it's not.
Starting point is 00:13:05 Because guess what? Now she just got back in her pocket. She just got packed $17,000 out of her pocket. And here's the best part. And hours on top of hours, on top of hours back. So she got 17 grand back. Guys, what could you do with 17 grand? Right?
Starting point is 00:13:21 You could pay for coaching 10 times over with us. Right? You can go ahead and you could hire somebody else, right? Maybe a marketing person, you could pay for ads. You could use that money to go on, that vacation. You haven't had the money to go on or the time. Now you got money in time. So get a TC, but you don't pay for the TC.
Starting point is 00:13:41 You pass that cost on to your clients. Okay. 17 grand so I want you to do this math right now how many transactions are you doing okay how many transactions maybe do you want to do what do you normally pay for a tc okay now how much would you make back right so if you don't have a tc go get one if you have one make sure that your client your buyer seller are actually paying for you aren't number three time block how do I get time back time block I know it seems simple all right and I it seems simple, but time blocking doesn't start that day. Time blocking starts on Sunday,
Starting point is 00:14:21 and then the big piece is it's starting the night before for the next day. So Sunday, we do our reflection. I've talked about this numerous times on our podcast, but then it's preparing our week seeing what to do so that then we could strategically put in our calendar what we need to do for those various times because each week is a little different. It's fluid. But also ending the day, with starting the next day. So making sure your calendar is aligned on Monday for Tuesday, on Tuesday for Wednesday. And when I do time blocks, I would not put anything more than 90 minutes. And then I'd put clarity breaks in between.
Starting point is 00:15:01 So what's a clarity break? It's basically a 15 minute part in between two big time block sessions where you walk away from your desk, you walk away from your computer, no phone, no electronics, and just get away, whether it's going to see your family, take it all. walk, whatever it might be, but you need to plug yourself and you need to recharge and come back for the next time block with the correct and proper energy. Number four, schedule your post on social media. Schedule posts on social media.
Starting point is 00:15:32 I've been doing this recently more often. I used to do a lot more. And I used to use a company called Buffer. There's also Hoot Suite. There's a bunch of them. Now, we already know. Facebook and Instagram's algorithm. You know, it's not the, it's not the easiest to crack.
Starting point is 00:15:51 So I don't like to use a third party company, but if you got to, use a third party company. But you don't have to use a third party company. You could actually go right into your Facebook and Instagram business manager, and you could do it right there. There are some things that you lose out on, right? But you could do that right on your desktop or from your phone. You could now schedule them right from your phone or right on your desktop to create reels, stories, posts, whatever you want.
Starting point is 00:16:24 So take two hours, three hours at max, right? Maybe you do it for two weeks at a time. Maybe do it for a whole month at a time. But every two weeks, I would ideally say that you have at least a two to three hour time and you go ahead and you create your post. Now here's the crazy part. When you do that, you're like, man,
Starting point is 00:16:45 two hours seems like a lot. No, no, no, no. When you're thinking about what to post, then you're trying to find that picture and you're trying to write that content,
Starting point is 00:16:51 like that takes one post, usually takes 20 to 30 minutes. Right? Maybe you have some other posts that are fine. Maybe it's 10 minutes, but if you really think about it, and not only does it take that long, how many times have you forgotten the post?
Starting point is 00:17:05 Things just got crazy that day. Right? So now you, you alleviate all that. You don't need to worry about the not posting or what do I post. You have a time block allotted for it. You have the right energy going into it, the right intent, and it gets you time back. Okay. So the number five. Now this one is going to be one where some of you guys are going to be like, nope, it doesn't work. I don't understand how that gets your time back. But this is a guarantee. Get your time back and make you more money.
Starting point is 00:17:38 And that is tracking. Tracking, tracking, tracking. Track everything. So what we have our clients track at a simple, simple level is how many dials, contacts, appointments, appointments set, appointments kept, right? And how many people hung up on your opening line? And why do we track this? Let me tell you about a client of mine, Daniel Blessing. So, Daniel Blessing, he tracks that and some.
Starting point is 00:18:05 I mean, he tracks offers, he tracks so many different things, right? So when I have a call with Daniel Blessing, who by the way is a part-time agent about to close 40 deals, he closed five last year. He started coaching with us beginning of the year. He's going to close 40 deals this year as a person who works one to six Monday to Saturday. That's it. One to six Monday to Saturday because he has another job that he does. And he's going to close 40 transactions.

Starting point is 00:19:07 you get one-on-one access with me. So we sit down on a call for a one-on-one. And he pulls up his numbers. He tracks a little more than most. He loves to track things and because he understands it as far as like how powerful it is. And we pull it up and I'm like, okay, let's look at these numbers. The dude is at a 70% contact to set appointment.
Starting point is 00:19:29 It's insane. 70%. He uses our scripts. He practices every day. But his problem was offers. Right. he had a lot of people that he just didn't have enough offers going out. So we were showing X amount of people, but not many offers.
Starting point is 00:19:43 But guess what? I was able to look at that. And within five, 10 seconds, I'm able to see where the gap is in his production. It wasn't calls, wasn't contacts. It wasn't appointments. It wasn't appointments kept. It was appointments kept two offers. So him and I role played.
Starting point is 00:19:59 We had a conversation. I told him how to go ahead and drive people to take some more action to get them off the tire kicking phase, right, off the sidelines. I showed him how to do that, and his conversion rate from appointment kept to offers was 7% before that call. Ladies and gentlemen, he is now a 30% appointment kept to offers. I don't know if you realize the power of tracking or how much money now you're going to make by increasing your percentage 23% more.
Starting point is 00:20:33 And so he got off the call. And he did exactly what we said, and he went ahead. And within, I think we said, 48 hours, 72 hours, he had two offers in of people who were kicking tires for six months prior. And by the way, those offers not only were accepted, but they closed as well. But how come I'm bringing this up on a call about how to get your time back is the question. Because Daniel and I could have figured this out in 10 seconds like we did on what the problem was, or we could have talked for 20 minutes, 30 minutes, an hour, try to figure out, man, okay, what's the problem? why aren't you getting your income goal?
Starting point is 00:21:05 And we never would have known unless we tracked it. So you need to be tracking everything. So at the end of the week, at the end of the month, you could look back and say, man, my problem wasn't conversion. My problem, I'm not making enough phone calls. My problem isn't conversion. It's, you know, they're not keeping. The appointments aren't keeping.
Starting point is 00:21:21 Or like Daniels, it's not about them not keeping. It's about they're not putting in offers. So I need to get better here. I need to get better there. Tracking helps you plug the holes in a ship faster than before. And if you can go ahead and you, could see the holes in the ship before it sinks, you could plug it way faster and get to where you want to go.
Starting point is 00:21:39 Right. So tracking gets your time back because you get to see the areas of your business that need work, whether it's your marketing, your tracking, whether it's your agent productivity or tracking, whether it's your productivity or tracking, right? Tracking on Sunday when you go ahead and do your reflection on your habits. But if you track, you get your time back and more money, you spend less time on figuring out what needs to be done to be more effective, more efficient, more productive. Okay, so so far we have number one CRM not just get one, learn how to use it and actually
Starting point is 00:22:11 set the stuff up to use it properly. Number two, TC don't just get one, but pass the cost along to your clients. Number three, time block not just on Sunday, but also the day before for the next day. Number four, schedule your post. Content batch it so that you get your time back, but not only that, you don't miss any, you know, weeks basically without posting. Number five, tracking. This not only gets your time back, but it helps you plug the holes in your ship, aka in your business, much faster creating a result that you want way quicker. Okay.
Starting point is 00:22:49 And number six, last but not least, how do I get more time back? You get more support. You get eyes that have a different view. Think about if you were in a forest and you're walking in this forest. You have no idea where you're going, right? It's foggy. The trees are everywhere. But then someone comes in and says like, oh, bro, I've been in this forest before.
Starting point is 00:23:15 Let me show you how to get out of it. And they guide you how to get out of it. Once you want somebody to get you at that forest versus you trying to figure it out, that's exactly what support or coaching will do. The right support, the right coaching. Not someone that's just a cheerleader, but someone's going to tell you what you need to hear versus what you want to hear. So get a coach. Well, John is going to cost money.
Starting point is 00:23:35 No, no, no, no. What's costing money is you not having one because you're not getting to where you want to go faster. You may not ever get there, right? Who knows? But having a coach can be the eyes in the forest when you don't understand where you're going. It is somebody that tells you make a left, make a right,
Starting point is 00:23:53 when you are sitting there with a fork in a road not knowing what to do. The coach gives you your time back so you're not trying to figure it out by yourself. and you make 10 wrong moves, aka you take a month making the wrong moves. Now you've got to backtrack and now you're exactly where you were before. A coach can guide you through the force of your business at a much more rapid pace because they've been there before, they've helped others before, and it gets you your time
Starting point is 00:24:20 back. So coaching is only expensive when you don't use it, right? And for our coaching, I mean, I'd be honest. It's less than a quarter of a transaction for most of you guys. Like on your commission, one commission check would pay for almost two years of coaching for most people with us. It is insane. And our results, I just told you, right? Daniel Blessing, five to 40.
Starting point is 00:24:46 The other girl was talking about she went from 12 to 35. You know why? Because they hired a coach. They went all in. They listened to everything the coach said. And they were able to create from where they're at to where they want to go. and they were able to collapse time because the coach was able to give them the insight that otherwise they would have to figure out themselves failing, failing, failing, failing,
Starting point is 00:25:07 failing, failing. Or they would have had to go ahead and go the wrong way, come on back, then hire a coach to go the right way. Just get one now. Get one now. Support or a coach. Someone's going to tell what you need to hear versus what you want to hear in every area of life.
Starting point is 00:25:22 And that's the big part about the coach. Not just about sales, not just about marketing, not just about life. Everything, business, finances, life, relationships, health, spirituality, because they all intertwine and they all integrate. And we all know that we can do great at business.
